Auction Administrator



This role is very unique and comprises predominantly administration duties with an element of sales and customer interaction, also including accounts, marketing and legal elements. Good career progression for the right candidate, this role can be a steppign stone to a Sales Negotiator role

Carry out all administration duties within the Auction department whilst on a daily basis, to assist with telephone enquiries, and visitors to the office. Ensure that all Legal documents are received from Solicitors within a timely manner, prepare for the Auction night, attending the auction and supervise the solicitors area. In addition the successful candidate will be required to administer the sale paperwork and ensure that invoices are raised and monies are allocated where required, and ensure that the web site is updated following the sale. Marketing, social media and advertising is also part of this role.

Duties include but are not limited to:

Sending out appraisal paperwork

Accurately upload Lots onto the Auction software system

Chasing vendors for signed paperwork.

Ensuring we are compliant with anti-money laundering

Contacting solicitors to ensure the Legal Packs are being prepared

Ordering For sales boards (plus audit)

Responsible for tagging and safe keeping of keys

Preparing Auction catalogue & ensuring accuracy

Organising catalogue advertisers

Updating database

Dealing with daily enquiries regarding both selling and buying at auction

Answering the telephone

Ensuring the Auction department is kept tidy and organised

Booking and preparing press adverts

Updating social media (auction accounts)

Ensuring all information exposed to the public is accurate and up to date

Booking viewings and managing the diary

Liaising with marketing company re: flyers/brochures/advertising

Emailing database with updates

Preparing slideshow for Auction

Printing and organising Legal Packs

Organising advertising schedule

Preparing for the Auction night

Preparing boxes ready to take to the hotel for the Auction

Attending the auction

Receiving solicitors on the night of the Auction

On the night of the auction liaise with solicitors/buyers/vendors

Supervising the taking of auction payments / solicitors area

Updating social media

Ordering sold boards

Ensuring webs site updated with sales/prices

Liaising with accounts department and arranging payments to solicitors

Assisting the Auction Co-ordinator and Auction Manager when required
