Purpose of Job

* To assist the Senior Depot Administrator (if applicable) and Operations Manager in efficiently ensuring the completion of all administrative tasks associated with the daily and weekly operation of the Depot.
* To ensure the timely and accurate generation of statistical and financial information in line with the Company Accounting procedures
* To ensure high levels of customer service are maintained at all times

Nature & Scope of the Job

* The Depot Administrator reports directly to the Senior Depot Administrator (if applicable) and/or Operations Manager. They are responsible for providing clerical support within that specific depot. Each depot has responsibility on a stand-alone basis for the provision of statistical information and the Depot Administrator takes responsibility for this activity.

Principal Accountabilities

* To ensure, at all times, that service levels are maintained in line with customer service standards, and to deal promptly and effectively with customer complaints. Dairy Crest strives in Delivering the Promise to all its customers
* To ensure that all communications with customers are undertaken in a highly professional and competent manner
* To communicate with Rounds staff, Franchisees and Depot staff, to ensure customer issues are reported and solutions can be reached
* To support all Rounds staff, in the provision of information so as to improve customer service standards thereby securing customers and maintaining KPIs
* To work closely with the Operations Manager in ensuring the depot meets its obligations for reporting in Excel all weekly business, key statistical and financial information
* To deal with day-to-day problems arising from customer queries, etc and advise Management of any anomalies or non-routine issues, and liaise with the customer care department as required
* To implement the Company's policy on Credit Control and take the necessary debt procedure actions as per company policies and procedures when required
* To be an ambassador for milk&more and/or Dairy Crest's Food Service delivery function
To undertake other duties within their experience and ability as directed by the Operations Manager

Knowledge & Experience Required

* Need to have very strong customer service skills including an excellent telephone manner
* Need to have at least 2 years experience of dealing with general administration / clerical routines and be familiar with computerized operational systems
* Able to show team leadership skills and be able to delegate tasks and responsibilities as required
* Must be comfortable working with numerical data
* Experience with Microsoft Office Suite, with emphasis on Word and Excel programs
* Experience with Lotus Notes is desirable
* Experience of debt control procedures is desirable
