Position Overview

To manage a team of T&A Analysts and own multi-site application administration for the Timegate & Kronos Workforce Management Solutions across the Interserve business. Working with relevant parties to ensure that the customer receives an excellent experience, payroll processing conducted in accordance with the Operational Excellence Model, and business requirements can be supported to enable future change.

Please note that the role can be based in either of the locations: West Bromwich / Solihull in 2018 or Washington


Main Duties:

  • Direct responsibility for the management and development of a team of T&A Analysts
  • To establish clear goals, objectives, and targets, and ensure the effective management of your functional work group
  • To maintain quality and integrity across the breadth of the team’s activities, ensuring that all business and people processes support our commitment to best practice and protect our stakeholders
  • Ensure self and team maintain strict levels of confidentiality, protecting operations by keeping information secure and following defined business process
  • To manage the mobilisations for the roll out of the Timegate T&A solution to the Interserve business
  • To manage the delivery of 1st line application support to the user community across the Interserve business
  • To ensure team run and maintain all application interfaces and post pay tables; including contract administration, payroll and HR & Finance interfaces (timely and accurately)
  • To manage the system configuration and maintenance of the Timegate / Kronos applications to support the on-going requirements from the Interserve business (applicable to all users, roles, sites)
  • Critically review and analyse current processes in order to recommend and implement changes, leading to best practice operations
  • Build controls and data validation routines to ensure pay file extracts and data builds for bulk system upload (i.e. TUPE transfer in) are managed effectively
  • Create and maintain control documentation, process flows and procedures
  • Work with cross functional teams (including Business Insight and Master Data) to maintain system parameters in line with business requirements
  • To create and manage governance of functional access profiles and display profiles to control user access across the user community
  • To facilitate installation and on-going support of Timegate / Kronos clocking systems. To liaise with a 3rd party field support organisation to resolve on-site issues with biometric clocks
  • To ensure the team deliver effective communication to the user community across the Interserve business when necessary
  • To manage delivery of reporting requirements; including supplementary and hardship payment requests, compliance and KPI reporting
  • Ensure the team maintain schedules in Timegate / Kronos as appropriate
  • Support audits and compliance testing
  • To work with the Timegate SME to create training material, documentation and reference guides for Timegate / Kronos applications functionality to support the user community
  • To analyse system and business requirements; participate in product development; implement, configure and test developments (including new releases & upgrades); act as liaison between customers and developers
  • The list of responsibilities / tasks above is not exhaustive and other duties may be required from time to time

Main Tasks:

  • Monitor and manage team performance against KPI’s and targets
  • Ensure appropriate staffing cover for workload and absence
  • Quality check and monitor all forms of customer/supplier contact
  • Provide specific training and support to improve/maintain team skills and performance
  • Delivery of monthly 1:1s, performance reviews and team meetings in line with Company values and leadership behaviours
  • Ensure team operates systems competently, all payroll extracts, reports and uploads are completed accurately and on time. Ensuring that all calls, emails and client activity is properly logged, updated and closed accurately to ensure excellent service and accurate data management for reporting
  • Ensure all financial controls are adhered to
  • Identify opportunities to drive service improvement and ensure best practice is shared across user community
  • Document key design decisions, risks and issues related to T&A operational and back office functions
    • Undertake processing of the payroll periodically
  • Periodically support the roll out of training of T&A systems across the user community as required
  • Liaise with and support projects rolling out T&A implementation, decommissioning T&A, T&A upgrades and module roll out where required
  • Represent T&A Central and Customer Operations as a whole in any communication within the business, reviews and projects where required
  • To ensure that all Company Policies and Procedures are fully implemented, adhered to and communicated

What we are looking for


  • Strong working knowledge of T&A/WFM applications as Administrator, Super User or internal support (ideally Kronos and Timegate)
  • Working knowledge of payroll procedures, understanding of different pay elements
  • Intermediate to Advanced knowledge of Microsoft Office Applications

Experience and Qualifications

  • Previous experience of leading and motivating a team is essential
  • Previous experience of system administration of Workforce Management or payroll solutions is essential
  • Experience in customer service skills or support/service desk
  • Facilities Management experience is desirable
  • A good standard of general education, including Maths and English
