Position Overview

We are currently seeking to recruit a Facilities/Workplace Manager. This role is mobile covering the West Midlands and Wales. You will be responsible for ensuring the effective and efficient delivery of contracted and additional site services, as required, for the geographic portfolio of the sites. The role is working on our Department for Transport contract on a fixed term duration of 6 months and the successful candidate will need to be security cleared for the role.

We are offering a competitve salary, car, 25 days holidays, pension plus retail dicounted offers.

Responsibilities

Planning
Make full use of Maximo (CAFM) to gain maximum efficiencies.
Plan engineers time/routes to ensure completion of both PPM and reactive works in line with KPI’s.
Ensure adequate resources are in place at all times.
Provide robust management of all subcontractors.
Analyse weekly report and apply appropriate actions as required.
Manage and prioritise your own diary on a day to day basis
Provide regular feed back to the PPM Planner to ensure work is scheduled in the most efficient and cost effective way

Reporting
Provide weekly reports on Zone performance.
Compile and submit weekly “Close out” report to PPM and Quoted works Teams.
Compile zonal monthly report and present to the Regional Manager on at monthly meeting

Communications
Liaise with Senior Management Team regarding contract needs/requirements.
Liaise daily with the West Bromwich service team, zone engineers, subcontractors, and clients.
Compile and provide quotations for chargeable works

Health and Safety
Conducting site audits and logging reports into IT system.
Provide monthly toolbox talks to team.
Ensure all RAMS are in place and used for all works undertaken by engineers
Carry out spot checks to ensure safety measures are adhered too Small works
Build a pipeline of small works income for self delivery within the zone using own engineering team

FMR
Develop , support and maintain an accurate FMR for the zone, work with the projects team to self deliver all FMR project worksTeam Working and People
Conducting PADP’s with direct reports.
Monitoring performance of Engineers and address any issues when required.
Build and maintain client relationship.
Work closely with fellow Work Place Managers to support and assist where and when required.
Prepare and deliver monthly team brief.

Finance
Ensure adherence to budgetary constraints.
Provide information for P&L report.
Training
Keep up to date with current regulations, legislation and ACOP’s.
Identify and provide business case justification for any training needs within the team.
Accountabilities
Accountable for day to day running of the Zone.
Ensure 100% compliance with KPI’s in order to avoid fee deductions.
Line Manager for up to 5 directly employed staff.
No instances of statutory non compliance
No instances of H+S non compliance
Weekly submissions of close outs and task updates of statutory compliance


What we are looking for

Knowledge skills & experience

  • A proven track record in multi-site management
  • Experience of managing FM services within strict financial controls
  • Experience of managing large numbers of employees in a dispersed geographical location
  • Previous experience of liaising with contractors
  • Experience of working in a busy and challenging workplace / work environment

Person

  • A professionally recognised FM qualification (e.g. BIFM) Desirable
  • A professionally recognised H&S qualification (e.g. NEBOSH, IOSH) Desirable
  • An innovative approach and sound leadership qualities
  • Excellent organisational skills
  • Ability to utilise numerous IT packages (e.g. Word, E-Mail & Excel)
  • Excellent written and oral communication skills
