Receptionist

We are recruiting for a receptionist on behalf of our clients based in Birmingham. This is temporary contract with the potential for a future fixed term contract.

Duties and Responsibilities of a Receptionist

  • Answering incoming external and internal calls and transferring them to the appropriate extension. Logging incoming calls in the call log to ensure received calls are registered
  • Making outgoing calls as and when requested e.g. to book taxis
  • Greeting visitors and ensuring the appropriate person is informed of their arrival and that they are welcomed to the office
  • Updating the telephone system directories to ensure telephone extensions, names and room lists are correct
  • Managing the telephone system on a daily basis to ensure night service is operational and ensuring phone messages are picked up and forwarded correctly
  • Ensuring meeting rooms are prepared daily for meetings with water, glasses, refreshments when necessary, and ensuring that meeting rooms are cleared between meetings if necessary
  • Monitoring the parking arrangements in the car park and car park rota in line with the Car Park Policy to ensure that security is maintained.

  • Ordering lunch for Partners, preparing place settings and arranging 'ad hoc' lunches
  • Assisting with duties in Print & Post, as required, including scanning and distributing incoming post, franking and sending outgoing post, distributing faxes and emails, preparation of stationery orders and weekly paper deliveries
  • Assisting with duties in Facilities, as required, including the co-ordination of contractors and suppliers, liaising with the managing agents for the buildings, office cleaners, and office moves

  • Location: Edgbaston
  • Hours: 37.5 hours per week
  • Temporary - Fixed term contract (Potentially)
  • Pay- £18,000 Per Annum

Skills and Experience of a Receptionist

  • Good understanding of administration processes in an office or reception environment
  • Minimum GCSE English at grade C or equivalent work experience
  • Must be friendly and welcoming
  • Must be able to follow instructions and procedures
  • Good working knowledge of a computer based telephone system
  • Good level of It skills - MS office, Outlook, Word, Excel, Internet
  • Excellent customer service skills
  • Must have good organisational skills
