National Governance Association has an exciting opportunity for an Office Manager to join the team based in Birmingham. You will be on a full time permanent basis working 37.5 hours per week and receive a competitive salary of £29,000- £36,000 per annum + Excellent Benefits.

The National Governance Association aims to represent all school governors and trustees in England; there are over 300,000 governors/trustees, one of the largest volunteer groups in the UK. We are an independent charity that aims to support and promote good governance in our schools; we do this through lobbying, via a range of contacts with ministers, policy makers and education organisations. We also run national conferences, and a number of regional events.

We are now looking for an Office manager to ensure smooth running of the office on a day-to-day basis, including line management of the administrative and membership team and acting as NGA's Human resources officer.

Responsibilities of our Office Manager

- Responsibility for facilities management, liaising with the landlord and other buildings personnel as necessary

- Ensure there are value for money contracts for all office services, including support and maintenance contracts

- Ensure office equipment, including IT infrastructure, is maintained in good working order

- Obtain quotes for any replacement or new equipment, and organise purchase once approved

- Ensure health & safety policies are implemented and updated; organise & conduct risk assessments (workstations and premises) and produce report annually and follow up any action points

- Support Business Development Director to set budgets for office facilities and IT infrastructure

- Line management responsibility for admin and membership team, including undertaking appraisals

- Ensure admin and membership team provide a high level of customer service to members and service users

- Ensure that NGA's membership database is updated accurately

- Work with the Business Development Director to ensure the membership database is fit for purpose

- Understanding of data management and data protection regulations

- Work with the Head of Communications and Marketing to ensure that all electronic communications to members are high quality

- Develop an understanding of NGA's website and its interface with the membership database, and support the despatch of the weekly e-newsletter when necessary

- Oversee stock control of NGA publications and their effective sale and despatch

- Ensure new members of staff have an induction programme and induct them into office and HR systems

- Maintain an efficient HR administration service including maintenance of all staff records in compliance with the Data Protection Act and ensure high level of confidentiality is maintained in all aspects.

- Ensure proper Insurance protection for the NGA at all times

- Ensure staff training records are kept and CPD encouraged

- Ensure annual leave and time off in lieu records are kept

- Forward plan probation and appraisal dates for relevant members of staff

- Maintain the staff handbook and ensure all new employees are aware of the handbook
