Conference Logistics Coordinator Birmingham Permanent Salary £29k - £31k The Company We are a professional body that accredits professionals within the land, property and construction sectors worldwide. It regulates and promotes the profession; maintain the highest educational and professional standards; protecting clients and consumers via a strict code of ethics; and providing impartial advice and guidance. Job Purpose To plan and deliver a portfolio of conferences, seminars, workshops, award ceremonies & dinners to an agreed plan and budget with specific focus on the East Midlands region. Delivering a programme of approximately 15 events and organising approximately 50 one hour seminars a year, both in the UK and internationally. Facilitate achieving targets in commercial revenue and membership training and education. Responsibilities include; - Research suitable venues, negotiate competitive rates and manage venue requirements - Conference administration, set up of conferences in event software, catering, preparation of conference documentation, attendance lists, badges and producing event apps - Procurement and management of stage sets, technical equipment and technical support - Organising speaker travel, coordinating speaker presentations and papers - Coordinating the conference on-site, staffing the registration desk, managing the venue - Setting budgets and delivering within agreed budget - Ensure that all sponsor's requirements are delivered at the event. - Preparing promotional content for website and marketing collateral - Travel management - flights, visas and airport transfers - Stakeholder, supplier and delegate management - Delegate and supplier management Requirements - Experience as a logistics/event coordinator within a commercial conference and/or membership organisation - International Conference Experience - Stakeholder Management - Strong project management skills - delivery on time and within budget - Customer focused, ability to build working relationships - Good interpersonal, communication and negotiation skills - Problem solving ability, creativity, drive and entrepreneurial spirit - Experience of procurement and supplier management - Marketing - design, print and proof-reading - Willing and able to work flexible hours with a can do attitude and travel within the UK - Knowledgeable in the emerging IT applications in event management - Attention to detail, willing to work under pressure By applying for this role, your details will be sent to Ortolan People, who are acting as consultants for the hiring company.
