Job purpose

To provide an efficient and effective administration service within a local area; taking into account the need to provide a healthy & safe environment and the promotion of equality of opportunity.

Main accountabilities

Provide a confidential support service to the day to day running of the local area.

Provide to a high standard a comprehensive administration and typing\word processing service as and when required, checking accuracy and prioritising work as necessary.

Take detailed, accurate minutes of internal meetings/conferences/seminars and workshops ensuring appropriate approval and circulation.Occasional minute taking at meetings at which external, partner organisations and customer attendees will be present may be required.

Provide and manage spreadsheet systems, monitoring, updating and analysing data as and when required to a high and accurate standard, checking accuracy and prioritising work.

To undertake general administrative duties such as typing, filing, photocopying, faxing, printing, mail distribution and any other clerical duties as necessary.

Organise meetings/conferences/seminars and workshops involving internal and external contacts.This will involve drafting letters where necessary, confirmation of dates and times to all parties, booking of meeting facilities/hotel arrangements, compilation/collation and distribution of agendas and associated paperwork, car parking, travel arrangements and refreshments.

Undertake SAP Procurement as required, deal with invoices in a timely manner and answer any financial queries from staff, ensuring that invoices match up to purchase orders to facilitate prompt payment.

Manage to resolution all customer contacts and queries received, to include identifying and transferring to an appropriate officer, customer queries that it has not be possible to resolve.

To be proficient with information technology packages and equipment including the use and data entry to SAP, SRM, SWIFT, SWIPE to meet the job purpose.

To be proficient using MS Office packages (Outlook, Excel, Word & PowerPoint),

To work as part of the staff team supporting the workload of colleagues as and when required.

To practice and promote fair and equal treatment of staff and customers throughout the course of performing all duties contained within this job description.

To attend training courses as required in order to further knowledge and skills.

To undertake reception cover when required, handling visitors and dealing with telephone enquiries.

To carry out such duties of a similar nature and level of responsibility as may be required from time to time.

1. Qualifications

GCSE Level A-C or equivalent

2. Relevant experience

Experience of working in an administration role

Sound knowledge of administration systems and experience

Experience of using Microsoft packages, including Word and Excel

Experience of using a wide range of office equipment

Ability to communicate with other colleagues and staff within the council
