A private clinic in Tamworth is looking for a Practice Office Manager to oversee the daily operations of the clinic on behalf of the Medical Director, ensuring that the best use of available resources are made to ensure that the service offered in all areas meets the highest standards of care.
You will have a pivotal leadership role within the clinic, creating an environment that promotes and supports high standards of clinical and professional practice, resulting in high quality patient care.
You will also be expected to take an active role in creating, reviewing and implementing any new business procedures in line with group plans and activities.
Together with the Medical Director and other team managers you will need to take an active part in identifying and setting up new referral streams and satellite centres.
Alongside the Medical Director, the post holder will manage financial budgets and take care of company expenditure and bills.
The role involves having responsibility for recruitment of administration staff within the clinic and will be responsible for ensuring ongoing training and educational needs are met.
Key Results Areas:
Communicate and reinforce the vision of Customer Service Excellence to employees. Lead by example, and motivate staff to make people feel special from the time they enter the clinic.
Handle all functional aspects of Main reception, care team administration and secretarial service, ensuring standards are met in all patient areas and to ensure the team is able to support patients and all members of the multi-disciplinary team as required.
To ensure the clinic continues to operate efficiently on a daily basis, reporting and resolving any issues promptly to ensure the quality of service is maintained.
Manage the operational aspects of HR related to the admin team to include rotas, time sheets, annual leave cover and performance management, and to ensure that all the team members are adhering to the company uniform policy.
Seek opportunities to improve the customer experience by seeking feedback and suggesting strategies to improve departments
Provide admin staff with the orientation and training needed to understand expectations and perform their job responsibilities.
Motivate & manage the team in providing an efficient & professional service and encourage all team members to look for opportunities to exceed our patients' expectations balanced against caring for results
Communicate performance expectations and provide employees with ongoing feedback
Provide employees with coaching and counselling as needed to achieve performance objectives and reach their fullest potential
In conjunction with the Head of Administration & HR determine appropriate staffing levels within a controlled budget and undertake regular establishment and skill mix reviews to ensure that admin levels are fit for purpose.
To provide PA support as and when required to the Medical Director, either personally, or by delegation within the administration team.
Performance Management
To demonstrate use of excellent communication skills to support patients and families in stressful situations both face to face and over the telephone.
To exercise professional accountability at all times and to be aware of own development needs / limitations, actively seeking to address these and raise awareness in others.
To ensure record keeping is accurate and legible for each patient in line with company policy. To assist in the production of written information to meet the changing expectations and needs of service users
To contribute to the promotion of the service to users and purchasers.
To assist in the collation of all data resulting from procedures ensuring that timelines for HFEA data submission are met.
To actively contribute to the performance management of the clinic with other members of the management team ensuring delivery of all agreed outputs.
Finance Management
To oversee the daily and weekly management of patient finances within the clinic.
To ensure that all monies are accounted for, cashing up and reconciling the credit card statements
Working in partnership with the contact centre to manage outstanding patient debts
