Our client a prestigious law firm, seeks an experienced Secretary to join their team.

Temporary, with a view to becoming a permanent position.

Hours of Work: 9am -5.15pm Monday - Friday (36 hours p/w)

1. Required qualifications, and experience:

- Trained in secretarial practice.
- High word-processing and audio-typing skills.
- Preferably previous experience as a legal secretary or experience of working in an alternative professional office.

2. Role:

The prime role of the legal secretary is to provide direct support to all fee earners within the department to enable them to operate at optimum efficiency. This will include but will not be limited to the main responsibilities given below. The legal secretary is expected to use a high degree of self-management and initiative.

3. Main responsibilities:

- To prepare correspondence and documents through audio-typing and word processing.
- To provide administrative support to Fee Earners in case preparation and legal matters generally.
- To administer filing which will include daily filing and the opening, closing, storage and retrieval of client files in accordance with the detailed procedures contained in the Office Manual.
- To prepare mail and enclosures for despatch.
- To arrange for all copying to be done, in person if the office junior is not available to undertake the task.
- To make appointments, arrange meetings and to maintain an up-to-date diary for his/her principal.
- To prepare the Conference Room for meetings as necessary and for the tidying and clearance of the room at the end of the meeting.
- To provide refreshments when asked to do so.
- To provide support to other secretaries as required.
- To provide guidance to junior and temporary secretaries when required to do so.
- To attend clients both in person and on the telephone and to provide such support in a professional and friendly manner in keeping with the firm's standards for client care.
- To undertake any specific training when required to do so and overall to have a responsibility towards self-development.
- To ensure the confidentiality of all the firm's and clients' documentation and information.

4. Skills, Abilities and Knowledge:

- Ability to efficiently carry out a range of administrative duties, including accurate preparation of detailed documentation, care and maintenance of files.
- Ability to prioritise own workload and work effectively without immediate supervision.
- Ability to communicate clearly both verbally and in writing.
- Ability to use Windows XP, 7 & Word.
- Ability to work within the requirement of confidentiality.
- Ability to work effectively and flexibly as part of a team.
- Willingness to take on additional administrative duties/responsibilities (including covering reception).
- Knowledge of/or willingness to learn basic legal processes.
- Excellent interpersonal and client liaison skills, and a good professional telephone manner.
