Operations and Projects Manager - RGS Worcester

Responsible to: Facilities and Compliance Manager

Responsible for: Maintenance Supervisor, Head Groundsman, Minibus Driver and Cleaning Supervisor x 4

Location: Based at RGS Worcester plus RGS Springfield and RGS The Grange when required.

General Purpose

The role of the Operations and Projects Manager is to create, resource and implement a schedule of proactive buildings and grounds developments across all RGSW sites whilst maintaining responsibility for the day to day management of all school operations, and ensuring RGSW remains compliant in all areas relating to Estates.

Key Tasks and Responsibilities

To manage the rolling schedule of building and maintenance projects across all school sites including drafting specifications, gaining quotations, recommending the award of contractor, manage contactors on site and ensure professional delivery of contractor maintenance and capital works.

To work within agreed budget perimeters for projects. Advising and assisting the Facilities and Compliance Manager to form the Short Term and Medium Term plans for capital and refurbishment expenditure.

To be part of the Director of Finance and Operations (DFO) management team to report on strategic and emergency planning, in addition to be part of a variety of buildings related working groups.

To assess and direct job requests to the maintenance and ground teams, including reactive maintenance and other actions identified through audits by external consultant. Ensuring these are rectified and delivered through the in-house team or to call in appropriate contractors where needed.

Through leadership, management and a hands-on approach arrange and deliver routine, scheduled and preventative maintenance of buildings, equipment and premises.

To manage the day-to-day use of RGSW facilities by outside organisations, groups and individuals ensuring all exterior hiring requests are vetted and coordinated with no impact on school operations. Liaising and interfacing with RGSW customers to ensure a positive experience, with all associated paperwork administered in a timely manner.

Overall management of the Cleaning Services at the School ensuring that the Cleaning Team work safely and effectively at all times in order that required standards are met and exceeded wherever possible.

To be responsible for the daily operation and maintenance of the school's vehicle fleet, through the management of the caretaking team.

To ensure the maintenance, operation and compliance of the security, fire, access control, CCTV, heating, water and other on-site systems covering both in house responsibilities and utilising external contractors where necessary.

To line manage and develop the in-house maintenance, caretakers and grounds teams through identifying training and developmental requirements. Ensure during periods of team leave/absence appropriate cover is in place including relevant handovers.

To take a key role in Health and Safety, how it is observed and adhered to across all sites. This includes the management of Asbestos, Legionella and Fire Safety. To carry out risk assessments as appropriate.

To be responsible for the management of contracts and external contractors across all sites, ensuring that they comply with School Managing Contractors Policy and Procedures, associated Health & Safety Regulations including CDM Regs (2015), and all relevant School policies including the safeguarding of pupils.

To maintain all relevant documentation including building and site plans.

To assist the Facilities and Compliance Manager in keeping up to date with Facilities Management trends and developments. Namely in key areas such as asset managing and IT infrastructure.

To act as an out of hours contact in the case of emergencies. This includes being a listed key holder on the emergency contact list for emergency services. A mobile phone will be provided by the school for this purpose.

To assist in the security of premises both generally, out of hours and key school events.

The completion of any other reasonable tasks commensurate with the post as appropriate and as directed by the DFO or Facilities and Compliance Manager.

Working Conditions

Full time: 40 hours per week. (Some flexibility is required.)

8.00am - 5.00pm Monday to Friday (with 1 hour unpaid for lunch).

Holiday: 25 days per year (plus 8 bank holidays and 3 discretionary closedown days at Christmas).

Out of hours working will occasionally be required due to School events, including Open Days and parent's evenings or emergencies.

The post holder will be expected to undertake a Disclosure and Barring check from Disclosure and Barring service amongst other safeguarding checks as stipulated by the Department of Education. In addition, safeguarding children in education training must be undertaken.
