Our client based in Birmingham are looking to recruit a creative media assistant to support their wider team. This support will be in the form of PA and administrative marketing. The role is busy and varied and will require a graduate calibre candidate who can think on their feet. Your role will entail:

  • Providing support across a range of Creative Media projects, from the production of content, marketing material to updating web and intranet pages

  • Act as the front of office support for the department, meeting and greeting Clients, hospitality and providing administrative support for key Client events/training

  • Provide administrative support to ensure Health and Safety requirements are adhered to across the department

  • Management of incoming/outgoing correspondence to ensure that information meets the needs of the recipient

  • Produce emails, minutes, letters, briefings, reports on behalf of the Director in the appropriate style and tone

  • Assisting in the creation and production of marketing material

  • Coordinating and hosting internal and external meetings involving clients

  • Providing support for internal comms including event administration

  • Support Media training and TV studio clients, including the laying out of training materials in the training room and the setting up and clearing away of refreshments/crockery and cutlery etc in the kitchen area throughout the day

In addition to the above there will be general PA & administrative duties:

  • Supporting the management and development of HR including but not limited to recruitment, absence monitoring, holiday diary management, PDRs, WCN, Occupational Health referrals, staff training

  • To review the administrative systems used to support the wider teams, recommending and implementing improvement, identifying problems and providing solutions

  • Supporting the administration of the recruitment and induction process including co-ordinating inductions packs, interview panels, collating information packs for panel members, assisting with setting up tests and providing support with logistics on the day through to preparation for the arrival of a new member of staff

  • Management of the Director’s diary always looking up to 12 months in advance

  • Collating and monitoring of monthly reports and supporting the administration of strategic projects

  • Filtering of a large inbox to identify urgent matters, ensuring that they are dealt with, often without reference to the mailbox owner

  • Booking and organisation of travel

  • Fielding of incoming phone calls to the Director

  • Management of all outgoing correspondence from the Director. Including letters, briefings, reports and other communications, maintaining an appropriate style and tone

Applicants must have previous experience supporting a team. A good level of education is also key.
