Established commercial company in Sutton Coldfield looking for a hard working commercially aware Invoice/Administration Assistant to join their small friendly team.

The successful candidate will report to the Finance Director and be responsible for invoicing a portfolio of customers.

The position is full time, 37.5 hours per week, 8.30am to 5pm. Salary circa £20,000.

Key attributes required:
• Previous invoicing or finance experience an advantage
• Accuracy and attention to detail
• Confident and professional manner, both on the telephone and email
• Be able to prioritise duties
• Ability to work to deadlines
• Experienced user of Vixen or other ERP/accounting systems
• Excel skills necessary for lookups, sumifs, pivot tables, sorting and filtering data
• Commercial approach ensuring minimum margins achieved on each invoice

• Run reports for daily jobs ready for invoicing.
• Ensure paperwork and supporting documentation has been received prior to billing. Liaise with engineers for missing paperwork or clarification of work performed.
• Ensure correct customer purchase order number is on the job.
• Process the invoices through the Vixen system accurately and within given deadlines.
• Post/email invoices and paper work in accordance with customer instructions.
• Update customer portals as required.
• Maintain workload and activity level to ensure all billing is processed without delay.
• Deal with any queries and issues in relation to the invoicing of your specific clients.
• Demonstrate flexibility to cover during illness or holidays to ensure consistent activity levels across the invoicing team.
