Job Summary This role will be responsible for providing a professional administrative service, ensuring all 111 administrative functions both local and national, are delivered in accordance with contractual and governance requirements. To work alongside and assist other administrators in all aspects of the admin department. Responsible To Governance Support Officer Key Responsibilities Key Responsibility Areas: • Network Pems (post event message) Daily management and reporting of Pems for local sites, and supporting of National Network. Investigating, and reporting any DOS errors thereby reducing the amount of failed PEMS. Maintaining an accurate data base, and monthly reports for all failed Pems and actions taken. • Answering incoming admin calls Answer all incoming calls promptly and efficiently in a professional manner. Taking full and accurate details, demonstrating initiative and sensitivity when dealing with difficult and complex calls • Patient Surveys Running and maintaining of reports on a daily and monthly basis. Issuing of manual surveys requiring posting and consolidating returns • Not our patients Investigating and resending of patients records returned to CareUK , having been sent to the incorrect surgeries. • Network amalgamations Investigating and correcting duplicate patient records held on the ADASTRA data base • Stationary and equipment Managing, ordering and storing of stationary requirements for local site. Post Recording and processing any incoming and outgoing post for local site • Reports Accurately completing and maintaining any reports and submitting within deadline. Supporting local and national managers with adhoc reporting requirements • Frequent Callers Maintain and monitor database , providing to date accurate reports when required. Ensure reasonable turn around time of contacts with surgeries and appropriate records of contacts is maintained Patient Experience • To assist in managing and compliance of timescales for complaints, incidents and health professional feedback forms and ensuring compliance to timescales and assurance actions are completed. • To oversee the co-ordination of all 111 Complaints/Compliments/ Incidents/ Serious Incidents. • Register and acknowledge all written/Verbal complaints within 3 working days on to Datix as per Care UK complaints policy. • Register and acknowledge all feedback both compliments and complaints , within 3 working days on to Datix. • Check and maintain Datix where necessary send holding letter/phone calls and chase-up managers for responses. • Reception duties Greeting and directing visitors to local sites in a professional manner. Assist with the management of site communication notice boards • Minute meetings To support with any minute taking requirements for meetings. Attending meetings and transcribing accurate minutes and typing them up in a reasonable timeframe. • Backfill of tasks Covering other administrative roles both locally and Nationally when needed. Agresso support for local site • Assist in maintaining and monitoring budgetary adherence in relation to purchase orders and ad-hoc invoices. Ensuring timely loading and approval on Aggresso. Qualifications • Evidence of a competent level of education • ECDL Level 2/3 Business Administration Additional Information • High level of work organisation, self-motivation, drive for performance and improvement and flexibility in approach and attitude • Strong sense of commitment to openness, honesty and integrity in undertaking the role • A good level of administrative understanding and delivery • Ability to monitor and trend resource requirements • Target driven • Service Delivery targets • Proven experience of excel, work and Microsoft products • Ability to work and plan
