Project Support Officer (Compliance and Monitoring)

Start Date: 07/01/19
4 month Temporary contract

£12.37 p/h

37 hours per week

The primary focus of this role is to support the Programme Manager to ensure the delivery of the project is undertaken in accordance with regulations.

Working with partners across the Black Country the role is a key contact for the project on
Planning, monitoring, delivery and management of the AIM Project activities that enables effective delivery and improvement across partners and ensure the overall integrity of the project is maintained.

To compile accurate and robust grant claims, maintaining a high standard documentary audit trail for each transaction application ensuring high degree of compliance.

To develop and maintain effective tracking systems to monitor progress of individual grant claims and overall project performance and use programme specific project management systems to measure delivery against milestones, expenditure and outputs: Enabling identification of areas of under-performance and suggestion of corrective actions.

Undertake accurate and timely financial administration including raising purchase orders and sales invoices, processing of invoices and claims and financial period reconciliations and reporting.

Dealing with enquiries (calls, correspondence, web, email, face-to-face etc.), ensuring eligibility checks are undertaken where appropriate, and effective handling of such enquiries by colleagues and partners.

Handle data and information (enquiry, referral, service use etc.) accurately, effectively enter this into CRM and other databases as well as websites and information portals.

Experience;

Experience of providing high level support to multi-discipline team or project
Experience of developing and implementing systems, procedures and supporting projects.
Experience of collating eligible claims for public funded programmes
Experience of collating, analysing and reporting data.
Experience of working effectively in partnership with other organisations and agencies towards mutually beneficial objectives.
Experience of agenda setting and minute taking.

Skills;

Ability to interpret complex guidelines
Excellent organisational skills (including the ability to prioritise workload)
Demonstrates high levels of attention to detail
Ability to effectively engage with a range of stakeholders including public and private organisations
Excellent communication skills: both written and verbal.
Highly numerate: Confident in dealing with finances and business planning processes.
Develops effective partnerships and responds to external pressures.
Uses initiative, is innovative in their approach to problem solving and programme management in demanding circumstances.
Good interpersonal skills; able to foster and maintain relationships within the organisation and with stakeholders
Proficient IT skills (intermediate/advanced) and use of packages e.g. excel, power point, word, outlook, Microsoft note, design software packages

Personal Qualities;

Able to work both independently and collaboratively to prioritise own workload and achieve deadlines.
Ability to work under pressure and to tight deadlines
Clear communicator with highly developed oral skills.
To be able to build a strong rapport with partners and key personnel to ensure the success of the project
Self- motivated pragmatic and resourceful.

Qualifications and/or Training;
PRINCE 2 Foundation or equivalent
