The role of Executive Assistant involves providing support to the CEO with daily responsibilities, liaising with internal and external customers, managing diary and travel arrangements, maximising the value of time available and maintaining total confidentiality.

The role of Executive Assistant to the CEO has a diverse set of responsibilities including:

  • To ensure that the company’s vision and values are upheld when dealing with staff/customers and third parties
  • Full PA support to CEO
  • Electronic diary Management on Outlook
  • Attending Executive Board, Risk Committee and Operations meetings to take minutes and be flexible for cover on other meetings within the business
  • Type up Major Shareholder Minutes (not attend meeting)
  • Distribution of agenda, minutes and action points
  • Arranging travel and accommodation
  • Corporate Events organisation
  • Arranging, transport, accommodation for external personnel visiting the company
  • Organisation of both internal and external meetings
  • Opening and distribution of post / parcels
  • Processing of incoming telephone calls and being the first point of contact for CEO
  • Effectively communicate with people at all levels, both internally and externally to the organisation
  • Maintain efficient paper and electronic filing system
  • Produce PowerPoint presentations for meetings and Presentations to staff and some external meetings
  • Produce expense claims and credit card reconciliation
  • Support the Executive Board as and when required
  • Arrange One to One Meetings with CFO, COO and all other Direct reports
  • Holiday management - ensuring that all Direct Reports holidays are authorised and monitored
  • Attend courses, seminars as and when required

The required skills for Executive Assistant to the CEO

  • 2 years PA experience
  • Excellent diary management skills
  • Experience in Microsoft Word, Excel, PowerPoint and Outlook
  • Minute Taking Experience
  • Excellent typing skills and attention to detail
  • Microsoft Office
