HR Assistant/Employment Legal Secretary - Kidderminster

An experienced HR Assistant/Legal Secretary is required on a permanent, full time basis at a highly reputable, leading law firm in Kidderminster with a welcoming team to support you.

As this is a dual role it offers an incredibly unique opportunity to demonstrate your skills and organisational abilities in Employment law, you will be supporting your fee earner on their case load and your key duties will involve; typing, photocopying, making, taking phone calls and making and maintaining apointments.

The ideal candidate will have at least 12 months experience as a legal secretary or HR Assistant in a similar department with accomplished audio and touch typing skills, at least 65WPM an enthusiastic attitude and the ability to work effectively as an individual or as part of a team.

Key Skills

Human Resources

1. Handle enquiries from employees, prospective employees and third parties.

2. Undertake general administrative tasks to support the HR Department.

3. Maintain electronic and manual personnel records, ensuring data is up-todate and the firm complies with appropriate employment and other relevant legislation including GDPR.

4. Accurately record holiday and sickness absence, generating reports as required.

5. Provide all necessary recruitment documentation including vacancy advertisements, invitation and appointment letters, references, contracts of employment etc.

6. Assist in the recruitment process as required, including making practical arrangements for interviews.

7. Ensure that induction and probationary procedures are followed for all new joiners, to include monitoring probationary periods and production of appropriate letters and induction packs.

8. Responsibility for Floating Secretary calendar, ensuring the provision of adequate cover across divisions.

9. Distribute and collate annual declarations e.g. next of kin, medical information forms etc.

10.Carry out employee surveys as directed, collating, analysing and evaluating responses.

Legal Secretary

1. Assist with file management and ensure consistent reviews of files.

2. Ensure accurate time recording of all work undertaken by your Partner.

3. Undertake such work as may be delegated by the Partner in relation to client matters or any administrative duties that may be required.

4. Assist the Partner in prioritising the client matter and when appropriate advise the client and others of the progress of the matter.

5. Attend to clients and others when appropriate on behalf of the Partner, taking accurate instructions for your Partner's attention.

6. Undertake all work of a secretarial nature as may be requested by the Partner including typing and word processing, photocopying, making and taking phone calls.

7. Take and record accurately any message and pass the same on to the appropriate person without delay.

8. Make appointments and maintain up-to-date diary entries.

9. Deal with filing, storage and retrieval of client papers and files, opening and closing of files, storage of deeds and other papers all in accordance with firm policies.

10.Correctly identify and differentiate between DX and Royal Mail post and hand or other deliveries.

11.Undertake any other duties as may be allocated from time to time.
